State of the EI-Hub Week of December 30, 2024
Dear Colleagues,
The Bureau of Early
Intervention (BEI) continues to work with Public Consulting Group (PCG) to
ensure that the EI-Hub supports users to manage the work you do for children
and families in the Early Intervention Program (EIP). Please allow me to share
our latest system updates:
System Updates
Installed Updates
On December
26, 2024, PCG installed updates to the EI-Hub around billing, case management, and service logging. Key updates in this
system release included:
· Cloning
Service Coordination Notes: The Cloning feature is now available for SC
notes.
· Co-Visits: For
service loggers using entering claims for co-visits, the second visit now
passes validation.
· Load Speed: Improved
load speed and minimized system errors (AJAX errors) in the Therapist lookup
feature.
· Insurance Validation: System will now notify the end-user if the
'Insurance type' matches an existing entry for the child.
· Accept
Assignment Pop-up: Accept Assignment pop-up is now displaying information.
· IFSP Copy Message: The message was updated to be clearer why copying an
IFSP is not possible in certain scenarios.
· NPI Search: The NPI
search populates the selected provider in the Scripts, Orders, Recommendations,
and Referrals panel.
· Family
Member on the IFSP Team Panel: Removed the requirement for a family member on the
IFSP Team panel.
· IFSP Copy
Feature: Updated the IFSP copy feature to ensure that
copying a Closed IFSP functions the same way as copying an Active IFSP.
· Therapist
Lookup: The 'Add to Agency' option is available for
provider users.
· Provider
Agreements: Resolved the issue where migrated provider agreements for some DOH-approved providers showed both a basic and appendix agreement for the same timeframe. Now, only the appendix information is displayed in the
Provider Profile under the Status Management panel.
· Service Coordinator in Service Logging: Corrected a root cause issue in
the Case Management to Service Logging data integration process, and
retroactively corrected records that have been integrated without the
coordinator name.
· Co-Visits/Make-Ups in Service Logging: Co-visit and make-up visit information from Case
Management is now displayed in Service Logging.
· Completing Voids in Billing Module: The correct ID has been added in the backend,
allowing users to successfully void claims.
· Billing Validation - F16: Claims will not reject for the F16 billing edit if
there are multiple scripts for the same SA.
· Edit Button for Supplemental Evaluations: The edit button is available for Supplemental
Evaluations for applicable user roles.

available on the EI-Hub Landing Page and in the Learning Management System
(LMS).
Upcoming Updates
To address feedback and
concerns expressed by stakeholders, BEI and PCG have determined the work items
to be included in the next system release, and they are currently being tested
prior to their release into production. There will continue to be targeted
releases to make critical system fixes and larger releases of upgrades and
modifications. These releases will also be prioritized to address the needs
expressed by stakeholders. In addition, the project team is working to
establish a more regular cadence for future releases.
PCG Customer Service Call
Center
The Department continues to
work with the PCG’s Call Center on customer service and ways to improve ticket
resolution. PCG is also reviewing and “tagging” the tickets to group the open
tickets. PCG will send out an email to users with a similar issue to notify the
user if the issue was resolved or is still being investigated.
With many of the issues that
occurred in the early days after EI-Hub resolved, PCG is planning a process to
confirm with providers whether older open Call Center support tickets remain
unresolved or can be closed. This initiative aims to efficiently address the
backlog of open cases, enabling staff to focus on resolving more current
tickets and enhancing support responsiveness.
In addition, PCG staff are
scheduling meetings with counties with the highest number of open tickets. The
purpose of these calls is to resolve the immediate issue and then work with the
county to determine what other tickets may be closed. PCG will follow a similar
process with providers. BEI will continue to monitor the Call Center metrics
and direct PCG to make improvements as needed.
